Answer

Which POS should I choose for a new café in Malaysia?

Quick answer

For a first café in Malaysia, start on a free or low-cost cloud POS that runs on the phone or tablet you already own, and only pay for multi-outlet features when you actually open a second outlet. Three reasonable options in 2026 are LOOP POS (free for one outlet, AI operations layer), StoreHub (largest local install base, e-invoice compliance in its plans, from RM122 per month) and Loyverse (free basic tier for a simple counter).

A first café rarely fails because of its POS, but a badly chosen one wastes money in two ways: a hardware bundle bought before you know your layout, and a plan tier bought for features you will not use until outlet two.

Work in this order: menu and recipes first, then payments, then reporting. The till is the last thing to lock in, because you can only judge speed once you know your menu.

What a new Malaysian café actually needs on day one

  • • Fast order entry with modifiers, on a device you already own.
  • • Recipe-level stock deduction, so milk and syrup variance shows up in the first month rather than the first audit.
  • • Payment acceptance for cash, card and DuitNow QR on your existing terminal, recorded correctly at the till.
  • • A daily sales report you will actually read, and an export your accountant can use for e-invoicing.

What can wait

Table management for a twelve-seat café, loyalty tiers before you have regulars, and multi-outlet dashboards before outlet two. Buying these early is the most common first-café overspend we see.

Loyalty is worth doing from day one in the simplest form, capture the customer, not the tier structure. PEKO, the retention product from the same company as LOOP POS, runs on WhatsApp on top of whichever POS you pick, so you are not locked in.

Costs and compliance, honestly

LOOP POS is free for one outlet, then RM 129 per outlet per month, excluding SST. StoreHub publishes Starter from RM122 per month, with multi-store management and e-invoice compliance in the higher tiers (checked 16 September 2026).

LOOP POS does not issue MyInvois e-invoices yet and does not present DuitNow QR at the till; both are on the roadmap. If your accountant needs MyInvois issued from the POS on day one, choose a system that ships it.

Frequently asked

Do I need to buy a POS terminal?

No. LOOP POS runs on the Android or iOS phone or tablet you already own. You will still need a receipt printer if your customers expect printed receipts.

When should I upgrade from the free plan?

When you open a second outlet, add a third staff account, or need more than the last 30 days of sales history.

What licences do I need before the POS matters?

SSM registration, your local council business and signage licence, food-handler training and typhoid vaccination for staff, and halal certification if you intend to advertise it. The opening guide links each authority.
